In many sectors, especially retail, the EDI is a critical aspect of doing business with large customers. Larger retailers rely on information sent via the EDI to manage inventory levels and plan deliveries to coincide with on-time availability of key products when and where needed. In this regard, the EDI provides key pieces of information, including: when a specific set of products is about to be shipped, where it's going to be shipped to and all other critical information about the shipment.

The first step after the EDI is created, is to transmit the document to the trading partner that will be receiving the shipment.

For local translator software customers, once the ASN is created, it is then sent to the recipient through some form of electronic communications. The VAN mainly serves as a communication gateway or hub between multiple trading partners. The second popular option is to send the EDI directly to the recipient using the Internet as the communication channel.

When using AS2 to send the EDIthe document is encrypted at the source and is sent using secured Internet-based communication to the recipient, which must then have software capable of decrypting the EDI Assuming the recipient has successfully received and decrypted the EDIthe next step is to translate the EDI into a format that is more readily available.

One form is the human readable form of the EDIwhich is essentially a report either printed on screen or paper, that presents the information contained in the EDI into a format that is easily understood by the reader.

The second translation type is to transform the EDI into a flat-file form that is easily sent to the recipient's computer system. This is typically an ERP or accounting system where the EDI information will be made available to the pertinent users in a standardized and familiar form. Once the EDI is translated into a computer readable format, a secondary in-house process takes the generated file with the EDI information and moves it into the client's ERP or accounting system.

At this stage of the transformation, the EDI has now become a document in the recipient's ERP system available in a form familiar to the users of that system. This type of "system to system" delivery of the EDI is one of the most efficient and fastest means of delivery for the EDIensuring accurate data transfer in record time. I am still fairly new to EDI, and learning it on a new job. I was having problems with a file from a new vendor, and at first thought the file might be incorrect.

I have since learned that the file is correct, but our current XML schema is home grown, and would basically need to be tailored to accept this I guess some of the data being passed in is more then what our usual vendors pass to us still valid according to EDI X12 though. While I could do this, it seems like the real answer is getting an xsd file for the actual EDI spec. It seems like with such a standardized format it should already exist.

Does anyone know if such a thing is available? There is definitely room to improve, but I think the information on schema standards is what I am looking for at this point. I don't quite understand the question. If they're sending a segment that's not in your schema, doesn't the mapper ignore it? I'm used to paying for everything EDI-related documentation, translation, testing, etc.

Hey Will, thanks for taking the time to answer. It spurred me to take a closer look at what was going on. I added more information to the question. I think the issue with our own schema is our problem, and just bad code that needs to be fixed.

Seems like a number of people are going to cXML these days in certain circles like punchouts. Hello Andrew, I am looking for exactly what you were looking for in when this question was asked. For years, enterprises have relied on traditional electronic data interchange EDI to simplify and speed up their transactions with customers, suppliers and other partners.

Now, along comes the document-tagging language XML, with the potential to reach new markets, simplify access, populate Web pages and serve as an Esperanto format for transactions of all kinds. Should companies stay with EDI? Should they move to XML? Many are finding that they can do all of the above - if they use the right tools in the right ways. Luckily, there are services that can handle your transactions for you, delivering the connectivity and integration you need. CommerceQuest Inc.

Clients can have a variety of reasons for using this service. In such a case, CommerceQuest receives the transactions from the client company in whatever format, translates them to EDI and forwards them to the client's partner. Another scenario is where a pure EDI client wants to branch out to non-EDI companies without implementing interoperability in-house. CommerceQuest clients include Global 2, companies as well as e-business companies looking to link with business partners.

Services like CommerceQuest make it less likely that companies will implement their own EDI capabilities, since that interoperability can be outsourced. For instance, St. Louis-based Transentric, which began life as the technology arm of the Union Pacific Corp.

It currently handles more than a million transactions per day with some 8, partners on its value-added network VAN. Aircast Inc. The maker of orthopedic braces and other medical products began establishing EDI connections with very large distributors of its products when it was unusual for small businesses to get involved with EDI. Aircast's motivation was simple: To expand the market for its products, it had to adopt the preferred connection method of the larger companies, namely EDI.

Enterprises have a variety of motivations for wanting to get involved with XML. Many are desperate to get involved in e-commerce but have no idea how to get started, given their current technology. In industries that already have online marketplaces and portals springing into existence, XML is often the required admission ticket.

Many firms view the advent of XML as the golden opportunity to automate processes from beginning to end, with the XML format as the central touchstone.

What is the Relationship Between EDI and XML?

In contrast, XML is a child of the Internet and seems a more natural format to use. EDI is also primarily a one-to-one technology, while Web-based marketplaces allow many-to-one connectivity.

In addition, Transentric aims to use its combined EDI and XML prowess to give such increased access to partners as part of its value-added message-management offering. As with the original adoption of EDI, one draw of XML is the fact that your potential business partners may be using it. For example, SupplySolution Inc.

EDI 856 - Advance Ship Notice/Manifest

Many of these clients are struggling with EDI's limitations due to such things as a lack of real-time information and EDI's point-to-point nature. If your industry already has a recognized online marketplace to partner with, it's a good idea to follow its lead on tools and technologies.

Your goal should be to leverage your existing infrastructure investment. The low cost of ownership and ease of use were also important to Aircast. One alleged advantage of XML is its utility in any-to-any connectivity; it can ensure that a given product will enable you to connect with everyone you need to - or anticipate needing to. There are also different dialects of EDI, and you want to make sure your chosen technology handles them all.

That said, different products may satisfy different requirements. Another consideration here may be integration with existing systems. Investigate whether your current EDI vendor has a tool that simplifies certain tasks with its system before trying to whittle a third-party tool to fit. It's also advantageous to have data in XML format for supporting e-commerce and portal sites. Pure translation products may be wonderful, but if they can't take it to the Web, they may fall short of your aspirations.

If you're looking to do e-commerce, especially delivering content to Web browsers, make sure that your XML tool can go that extra mile for you. You clearly need to try before you buy.The primary purpose of the advance ship notice ASN is to provide detailed information about a pending delivery of goods. The ASN describes the contents that have been shipped as well the carrier moving the order, the size of the shipment, ship date and in some cases estimated delivery date.

The advance ship notice is typically sent from a product supplier to a retailer or distributor. The ASN can also be sent from a third-party logistics provider to a retailer or distributor. All trading partners providers benefit from implementing the Advance Ship Notice. To optimize benefits, the document should be sent at the time of the physical shipment. Gain visibility into inbound shipments and make adjustments to plans to accommodate incomplete or late shipments.

The cross-dock model commonly utilizes barcode labels to assist with receiving reconciliation and allows for product to flow through, removing the need for put-away and picking operations. Provides visibility for planning warehouse resources labor, equipment and space when shipping to the retailer location. Facilitates the movement of product through the warehouse through the use of the ASN data and GS labels. The use of the ASN data along with barcode labels assists with product reconciliation and facilitates automated receiving.

The ASN is used in the drop-ship model to confirm items shipped to the end consumer. Without the ASN, the retailer has no visibility to the shipping status and tracking information of the customer order.

Labels are commonly excluded as the end consumer does not need a GS1 label. However the packing slip is a standard requirement to provide consumers a list of products shipped, and the carrier carton label is also sometimes utilized. Both the packing slip and carrier carton label can be branded. Barcode labels: Issues with barcode labels, such as discrepancies between the barcode and the ASN, can occur. This often results in requiring the receiver to manually sort packages, leading to increased labor costs and potential chargebacks or penalties for suppliers.

Validating the completeness and accuracy of the ASN data is important to avoid confusion and subsequent penalties and fines. Timeliness: Trading partners typically require an ASN to arrive prior to the shipment. Managing ongoing EDI tasks can be complex and time-consuming.Juan Vasquez.

These standards define exactly where each piece of data is to be located in the electronic business document. The second approach enables the creation of electronic business documents in a more flexible way, one that is not bound by the strict rules of data location.

The XML language is designed to provide such flexibility. XML is not a standard at all. It was developed by a consortium of major computer, consumer electronics, semi-conductor manufacturers, and telecommunication and logistics companies.

It facilitates some industry-wide global supply chain processes. Also, within an enterprise, XML is heavily used for sharing data among various system components. Moreover, internal system integration software is often designed based on XML.

However, these tags also tend to make an XML-based business document more readable because the tag identifies the type of information that follows. This readability feature comes in handy for troubleshooting when human intervention is necessary. However, many businesses that have invested in EDI have found that it is efficient and works well, so they see no need to spend the money to reinvent this particular wheel.
